Keeper ("we," "us," or "our") operates a field operations platform that helps contractors manage jobs, crews, time tracking, invoicing, and payroll. This Privacy Policy explains what personal information we collect, how we use it, and the choices you have. By using Keeper, you agree to the practices described here.
Who this policy covers
Keeper is used by two groups: contractors (business owners who manage jobs and crews) and employees (crew members who clock in, receive work orders, and track time). Some data — like client contact details on invoices — may also belong to the contractor's customers. This policy applies to all of these users.
Information we collect
Account information. Name, email address, role (contractor or employee), and business name. Contractors create crew profiles that may include an employee's name and email before that employee registers.
Location data. GPS coordinates are captured only at the moment you clock in or clock out, to verify your punch against the job site. Keeper does not continuously track your location.
Time entries. Clock-in and clock-out timestamps, shift duration, and any notes you add to a time entry.
Expenses. Description, amount, category, date, and an optional receipt photo you upload.
Job and client information. Job name, site address, scheduled start time, job-site GPS coordinates and geofence radius, and client contact details (name, email, phone) that the contractor enters.
Team and assignment data. Crew member names and emails, job assignments, and work-order records.
Invoices and payments. Billing details, invoice totals, payment status, and transaction records processed through Base44 Payments (powered by Wix). Payment card data is handled entirely by the payment processor — Keeper never sees or stores your full card number.
Message preferences. Employee-chosen message hours, timezone, and emergency-email opt-in status.
Usage and device data. Basic analytics events (such as signups and invoices sent) and standard technical information to keep the service running securely.
How we use your information
- Provide time tracking, GPS-verified clock-ins, job costing, invoicing, and payroll export.
- Send work-order notifications and emergency emails to assigned employees (only with their opt-in for after-hours messages).
- Process subscription payments and client invoice payments through Base44 Payments.
- Share read-only job status with a contractor's client via a secure, token-protected link.
- Improve the product, troubleshoot issues, and prevent abuse.
GPS and location: punch-only, not continuous
Location is captured at clock-in and clock-out only — never in the background. Each captured point is compared against the job site's geofence (default 100 meters) and the result is stored on the time entry. Punches made outside the radius are flagged on the timesheet but are never blocked, so you can record your hours without disruption. You can review the GPS demo on our About page.
Data retention
We retain your data for as long as your account is active. Receipt photos and uploaded files are stored in private storage and deleted when the associated record is removed. You can request deletion of your account at any time (see below).
Your rights and choices
Access and export. Contractors can export payroll data for their crews. You may request a copy of your personal data by contacting us.
Message-hour control. Employees set their own work-message hours and timezone. Contractors cannot override these settings.
Emergency emails. After-hours emergency messaging is off by default. Only the employee can opt in or revoke consent at any time.
Account deletion. You can request account deletion from the Settings page. Requests are reviewed and processed by an administrator; see our Worker Privacy page for more on how we respect personal time.
Security
We protect data with row-level access controls so one contractor cannot see another's records, and employees see only their own data. Payment card information never touches our servers. While no system is perfectly secure, we use industry-standard safeguards to protect your information.
Children's privacy
Keeper is intended for business use and is not directed to children under 16. We do not knowingly collect personal information from children.
Changes to this policy
We may update this policy as Keeper evolves. Material changes will be reflected in the "last updated" date above. Continued use after a change means you accept the updated policy.
